1. Create Your Team Profile

Your team’s identity matters. Build powerful brand recognition by adding your logo, creating a short bio, and setting up your club’s digital presence on PLAI.

Steps to create your team profile:

  1. Tap "Create a Team"
  2. Fill in your team’s details:
    • Club name
    • Email
    • Sport
    • Country
    • Address
    • Timezone
  3. Add your club logo (square images work best).
  4. Insert your club’s social links to increase visibility.
  5. Write a short description of your club. This is the first impression prospective members will get, so make it count!
  6. Set member questions — choose any questions you need to verify prospective members.
  7. Approval settings: Choose whether to manually or automatically approve new members.
  8. Image Carousel: Add all your fantastic team photos — these will be displayed on your personalised PLAI website.

🚀 PLAI Recommends: Use a high-quality logo for maximum impact. Your logo will be seen on team pages, shop items, news posts, and more, so make it sharp and memorable.

2. Create Groups

Groups are the backbone of your PLAI community. They make it easy to target communication, organise players, and control who sees what. Use them wisely to streamline your operations.

Steps to create groups:

  1. Open the "Groups" Tab
  2. Tap "Create a New Group"
  3. Name your group (e.g., "Men’s 1st Team" or "Club Admins").
  4. Create Nested Groups: Choose a parent group if you want to nest your new group within another, like placing all youth teams under a "Junior Teams" category.

🚀 PLAI Recommends: Create a "Club Admins" group for testing and feedback. This is the perfect place to trial new features, send test events, and preview shop items before rolling them out to your full membership.

3. Activate Your Shop

Reduce cash slippage, boost revenue, and streamline payments with PLAI’s secure digital payment gateway, powered by Stripe.

Steps to activate your shop:

  1. Open the "Shop" Tab
  2. Tap "Connect Stripe"
  3. Follow the on-screen prompts to complete your setup

🚀 PLAI Recommends: Activate your shop early to reduce admin hassle and get funds flowing faster. This is a huge time-saver for club admins.

4. Add Your First Product

Make it easy for members to pay for subs, buy tickets, or order merchandise directly through your PLAI shop.

Steps to add a product:

  1. Open the "Shop" Tab
  2. Tap "Add Product"
  3. Fill in your product details like price, description, and images
  4. Choose visibility settings — decide which groups should see this product (e.g., only senior teams or parents of junior players)

🚀 PLAI Recommends: Use group-specific visibility settings to personalise your offerings. For example, make end-of-season tickets visible only to adult members or offer junior kit exclusively to youth teams.

5. Create Your First News Article

Keep your members informed with news articles. Share match reports, important announcements, and club updates in a way that cuts through the noise.

Steps to create a news article:

  1. Open the "News" Tab
  2. Tap "Add New Article"
  3. Add a catchy title and engaging body text
  4. Select the groups you want to notify
  5. Attach images or PDFs for a richer experience
  6. Send notifications via email, SMS, or in-app alerts
  7. Allow comments to build community engagement

🚀 PLAI Recommends: Share a welcome article announcing your club’s migration to PLAI. This helps reassure members when they join and sets the tone for a positive experience.

6. Create Your First Event

Events keep your members organised and on time. Use this feature for matches, training sessions, and social events. Track attendance, set reminders, and reduce no-shows.

Steps to create an event:

  1. Open the "Events" Tab
  2. Tap "Add New Event"
  3. Add event details like time, date, location, and attendance requirements
  4. Attach a map link for easy navigation
  5. Send reminders and track who’s attending

🚀 PLAI Recommends: Use recurring events for regular training sessions or weekly matches to save time and reduce admin work
